04 — Customs & documentation

What you’ll need at pickup.

Customs paperwork is the most common reason an international parcel stalls. We’ll walk you through it before pickup so it doesn’t.

KYC of the sender

One photo ID for the person whose name is on the AWB — Aadhaar, passport or driving licence. We photograph it at pickup; not stored beyond DTDC’s record.

Commercial invoice

For commercial goods, a printed invoice listing items, quantity and value. For gifts, a written declaration suffices but value still must be stated. The recipient’s residence card (Zairyu Card) number speeds clearance.

Prescription (medicines)

For tablets going to a student or family member: a copy of the prescription with the doctor’s registration number. MHLW reviews medicines; sealed strips, name matching the recipient’s Zairyu Card. No injectables, no liquid medicines.

05 — Japan-specific restrictions

What Japan doesn’t let in.

Japan Customs (Zeikan) is efficient but strict. Plant and animal quarantine (MAFF) is among the toughest in the world. These are real Japanese rules — not our caution. Items shipped against them are seized, destroyed, and may incur a disposal fee billed to the consignee.

Don’t even try

  • Meat & meat products — extremely strict. Even sealed dry meat snacks and jerky are routinely rejected at MAFF inspection.
  • Dairy products — fresh paneer, ghee, khoya-mithai, raw milk products. Some packaged exemptions exist; assume seized.
  • Fresh fruit, vegetables, seeds, plants — MAFF is uncompromising. Even decorative dried flowers and untreated wooden items get flagged.
  • Live animals, insects, biological samples — quarantine clearance required.
  • Untreated bamboo agarbatti / dried-flower garlands — Sufi-pilgrimage senders sometimes try these; MAFF blocks them.
  • Liquids and aerosols of any kind — universal courier rule.
  • Lithium batteries above 100 Wh — restricted on air leg.

Allowed with care

  • Buddhist-Sufi-cultural-exchange materials — printed scriptures, prayer beads (non-organic), pilgrimage-souvenir books. Buddhist Japan and Sufi Ajmer have a small shared spiritual-tourism niche; declare honestly.
  • Textiles & sarees — block-print fabric, cotton clothing, lehengas. Declare a fair value.
  • Books and printed material — any language. Declare title and value.
  • Sealed dry vegetarian sweets — factory-sealed only, every ingredient declared.
  • Tablets with prescription — sealed strip, doctor’s prescription, name matching the Zairyu Card. No injectables.
  • Handicraft, papier-mâché, traditional Indian musical instruments — declare honestly with item-level values.

The road leg adds roughly half a day in good conditions, and the booking-cycle adds another. We absorb the road feeder cost: rates match Jaipur’s exactly, only transit changes.

Can I send pilgrimage-souvenir items from Ajmer Sharif to a Japanese friend?

Yes, with care. Printed materials, prayer beads (non-organic — glass, metal, synthetic), pilgrimage-souvenir books all clear Japanese customs. Avoid: dried flowers, untreated bamboo agarbatti, anything organic from the Dargah courtyard — MAFF flags it. Buddhist Japan and Sufi Ajmer have shared spiritual-tourism roots, so customs officers do see this kind of parcel; honest declaration moves it through.

How can transit be only 7–10 days for somewhere this far?

Two reasons. One — DTDC moves the parcel through Jaipur and Delhi onto direct cargo capacity to NRT, HND or KIX, and Japanese ground last-mile is fast and reliable. Two — Japan Customs is unusually efficient at clearing paperwork-clean parcels. The Ajmer road-feeder leg adds ~1 day vs Jaipur but the air and last-mile legs run identically.
