Sender KYC, a printed invoice for anything commercial, and a contents list written line by line. On a corporate parcel we also take the serial numbers of any equipment and put them on the invoice — that one habit prevents most of the questions a hardware shipment attracts.

More of this lane is business traffic than family traffic, and business parcels get read more carefully. Twenty minutes of paperwork at your address is worth several days of not chasing a hold in Warsaw.
KYC of the sender
One photo ID for the name on the AWB — Aadhaar, passport or driving licence. Photographed at pickup, retained only in DTDC’s own record. Where a company is shipping, the GSTIN goes on the invoice and the consignor is the company, not the employee who handed over the box.
Invoice with HS codes and serials
Poland clears under the union’s common tariff like every other member state, so the description is what determines the outcome. For equipment, add the make, model and serial number to each line; for samples, mark them as samples and still give a real value. Nothing is helped by a low number — an under-declared parcel is inspected, and then valued by someone else.
PESEL for a person, NIP for a company
Polish clearance identifies the receiver: PESEL is the individual’s national identification number, NIP the business tax number. Ask for whichever applies before you pack. Medicines are regulated by URPL — sealed strip, prescription with the doctor’s registration number, no liquids, nothing controlled.
What Poland doesn’t let in.
Union-wide controls, plus two things that are distinctly Polish. None of this is our caution — it is what the parcel is measured against on arrival.
Don’t even try
- Milk products and meat — personal consignments of dairy and meat from outside the EU are not admissible, sealed or otherwise. From this city that means ghee, milk-based sweets, khova and any instant mix built on milk solids.
- Dried fish and prawn-based podi — animal-origin food falls under the same bar. Check the ingredient list on a bought packet, because plenty of South Indian podis contain dried prawn without saying so on the front.
- Seeds, cuttings, fresh leaves and untreated timber — EU plant-health rules. Curry leaves, tulsi cuttings and seed packets are refused, and wooden kitchen items should be finished and treated.
- Items bearing fascist or totalitarian symbols — Polish law prohibits distributing them, and that extends to memorabilia, flags and themed merchandise. Historical books and academic material are a different matter and travel normally.
- Alcohol and tobacco, including vape liquid and heated-tobacco devices — excise goods, not carried on this service.
- Replica and decorative weapons — swords, air pistols, martial-arts equipment, however ornamental.
- Counterfeits, aerosols, loose lithium cells, power banks and liquids — seized, or refused before the aircraft.
Allowed with care
- Laptops and IT equipment — the signature parcel of this lane. Battery installed in the machine is fine; a spare cell in the same box is not, and nothing above 100 Wh flies at all. Declare make, model, serial and a truthful used value.
- Filter coffee powder, dry podis and masala — sealed, factory-packed, ingredients printed on the pack. Straightforward, and one of the most-shipped categories here.
- Silk and cotton clothing — sarees, kurtas, festival wear. Declare a fair value; textiles are the most under-declared thing on the lane.
- Sealed dry snacks — chakli, kodubale, mixture, banana chips. Dairy-free ingredient list, allergens shown.
- Documents, degree certificates and apostilled papers — no commercial value, sent express, tracked throughout.
- Sandalwood soap and powder, costume jewellery, phone accessories — all fine as declared manufactured goods. Sandalwood oil and precious metal are not.
A posting lane, not a family lane.
Poland has become one of Europe’s biggest homes for IT and shared-services work, and a great many of those delivery centres answer to organisations that also run out of Bengaluru. That single fact shapes almost everything on this route.
Parcels that follow a posting
Kraków, Wrocław, Warsaw, Łódź, Poznań, Katowice and the Tri-City are full of Bengaluru colleagues on two- and three-year assignments. The parcel is nearly always the second half of a move that started with a flight — books, kitchen equipment, a familiar mixer grinder, the things nobody thought to check in until they had been there a fortnight.
IT hardware and accessories
Docks, monitors, keyboards, adapters, prototype boards and the occasional laptop moving between offices. This is the category that most needs care: serials on the invoice, batteries only inside the device they belong to, and a line from the employer where the equipment is company-owned. Say it is hardware at booking and we pack it double-walled with foam corners.
Documents for work and qualification files
Signed contracts, notarised degree and experience certificates, apostilled transcripts, HR paperwork. Poland asks for real documentation when a qualification is being recognised, and the originals often have to travel. Express, tracked, and scanned before they leave your hand.
Winter clothing that Bengaluru never needed
A genuine recurring shipment, and an avoidable one if you plan. People move from a city that rarely leaves the twenties into a Polish winter, discover the difference in November, and ask family to send thermals, woollens and heavy socks. Ship those in October — the parcel is bulky, so expect volumetric weight to decide the price rather than the scale.
Family parcels and festival boxes
The settled Indian population in Poland is smaller than in western Europe but it is growing quickly, and Diwali and Sankranti move real volume. Festival clothing, decorations, sealed sweets that contain no dairy, children’s things. Book a fortnight ahead of the date rather than a week.
Filter coffee, podis and dry provisions
What every Bengaluru household eventually sends. Filter coffee powder above everything else, then huli podi, chutney podi, chakli and packaged mixture. All of it clears while it stays dry, sealed and honestly labelled — the failures are always dairy, oil or moisture, never the spice itself.

Can I send a work laptop to a colleague at our Kraków office?
Yes, with three conditions. First, the battery must be installed in the machine — a laptop ships with its own cell fitted, but a spare battery or a power bank in the same carton is refused outright, and nothing above 100 Wh flies at all. Second, declare it properly: make, model, serial number and a realistic used value on the invoice. A laptop written down at a token value is precisely the parcel Polish customs opens. Third, if the machine is company property, include a short letter on company letterhead saying so and naming the receiving employee; it resolves the ownership question before anyone asks it. Practically, address it to the colleague at their residential address rather than to a corporate campus — office reception and security desks turn couriers away far more often than apartment buildings do.
My cousin wants it sent to an InPost locker. Can you do that?
No, and it is worth explaining why, because in Poland the request is completely reasonable — parcel lockers are everywhere and most domestic Polish shopping arrives that way. An international consignment is different: it has cleared customs, it carries a value declaration, and the network requires it to be handed over against a signature at a physical address. So give us a street address in the Polish format — the street with its ul. prefix, the building number, the apartment number after the slash, the two-plus-three digit postcode and the town — plus a Polish mobile number that is answered during the day. If nobody is home in working hours, a workplace address with a named person is a better bet than a flat where the courier will find a locked entrance.
Poland is in the EU but not the euro. Who pays what at the Polish end?
Any import charge is assessed by Polish customs against your declared value and is payable by the receiver, in złoty, before the parcel is released — Poland uses the union’s common tariff but keeps its own currency, so the invoice can be denominated in rupees or euros while the bill at the other end comes in PLN. Commercial goods and samples above the low-value duty threshold attract duty and import VAT at the Polish rate; genuine person-to-person gifts of modest value are treated more leniently, but the value still has to be stated truthfully. What you should not do is guess low to protect your cousin from a charge. Under-declaration is the most reliable way to get a parcel opened, revalued and held, and the resulting delay costs more goodwill than the duty ever would.
